Equipment Reservations

Using the Calcium Scheduling Software for Equipment Reservations

Access the calendar (http://www.insidewilmer.jhu.edu/ircalendar).

User Accounts

Each approved facility user will be issued an account logon and password.  This is the user’s last name (all small case) for the logon and first name (all small case) for the password.  You may change your password after you logon for the first time, but please remember this password or your account will have to be deleted and recreated.

 

Operation

From the opening page of the calendar, you may view any listed calendar without logging on, but you cannot modify it.  To do so you must first Login as an authorized user.  A master calendar by the name of Overview that simultaneously shows all instrument calendars for the current week will automatically load. 

  • If you wish to see only your entries/reservations for the week, you may use the OPTIONS/EVENT FILTER button to select those entries with specific text in it.  For example, enter “yourlastname” in the text box to sort entries by your last name (the easiest method!). 
  • You may opt to see a single instrument calendar to enter reservations by selecting the SYSTEM OPERATIONS/SELECT CALENDAR button.  A popup window with all calendars listed will allow you to select the single calendar you wish to view.  You may also return to the Overview calendar by accessing this window from an individual calendar. 
  • To make a reservation from an individual calendar, double click on the date and the ADD NEW EVENT window will appear, or click on the ADD EVENT button directly above the date.  You may also select ADD/EDIT from the menu to open the ADD NEW EVENT window.  Once the window opens, enter the time needed (careful to select AM or PM appropriately!) and your first and last name in the text box.  You may modify your other reservations on this date from this window.  Click on RETURN to CALENDAR when done. 
  • You may also modify/delete one of your reservations by directly double clicking over it on the calendar to open the EDIT EVENT window.
  • One may also enter or edit reservations from the Overview calendar by clicking on the white box next to the calendar name of interest and the ADD EVENT button for that date will be active for the checked calendar.  Please note that you can accidentally add an event to multiple calendars if multiple calendars are checked!  We strongly recommend using Overview simply to see the entire schedule for that week or to filter to see your personal schedule on all instruments for that week.  It is much easier to enter and edit reservations from the individual instrument calendars. 

 

Calendar Configuration and Limits
  • Viewing access to all calendars has been granted for all users; however, you may only make reservations on instrument calendars that you will actually use (this has been determined by the facility manager).  You will not be able to interact with calendars for which you haven’t been given access.
  • Each person with access to a given calendar can edit or delete their own entries, but not those placed by others.
  • If you enter a time that overlaps with another entry, a warning message will appear.  Please DO NOT overlap, even though, in theory, one can book it that way.
  • Reservations cannot be entered or altered on days prior to the current one. 
  • Reservations can be made up to 2 weeks in advance of the current day.
  • When entering a reservation, remember to enter your name in the text field in a consistent manner from time to time.  This will help you use the filter function optimally.
  • Mary Ellen Pease and Rhonda Grebe have administrative access, thus they can edit all user entries. This may become necessary if they need to block out the space for service or training.  They are also responsible for creating new user accounts and deleting ones for person who have left.  Please help keep this list up to date by informing them when your fellows or staff members have left.
  • The current default DISPLAY for all calendars is the WEEK using the PLANNER mode.  The display mode may be changed at the user’s discretion.
